How benny handles data

This Privacy Policy explains what benny collects, why we collect it, how we share it, and the choices available to businesses, staff, and customers using video quote capture.

Scope

This Privacy Policy applies to benny websites, account pages, dashboards, capture links, video walkthroughs, support, analytics, and related services. It does not apply to third-party websites or services that we do not control.

Businesses that use benny may have their own privacy notices for their customers. If you are a customer opening a capture link, the business that sent the link may also control how your information is used for quoting and service delivery.

Information we collect

  • Account information: name, email address, business name, authentication identifiers, account settings, role, and similar owner or staff details.
  • Business information: services offered, pricing bands, templates, quote rules, job notes, customer communication settings, and dashboard activity.
  • Customer and job information: names, phone numbers, addresses, job descriptions, requested services, quote status, approval status, and related notes.
  • Capture content: videos, images, audio, transcripts, measurement notes, AI summaries, confidence scores, hazard flags, and files uploaded through capture links.
  • Device and usage data: browser type, device type, pages viewed, interactions, approximate location from IP address, logs, diagnostics, and performance data.
  • Payment and billing data: plan, invoices, billing contact, and payment status. Payment card details may be processed by payment providers rather than stored directly by benny.
  • Support communications: messages, attachments, feedback, and records of conversations with us.

How we use information

  • Provide, secure, maintain, and improve benny.
  • Authenticate users, create accounts, and manage dashboard access.
  • Generate capture links, process media, transcribe audio, analyze job details, and prepare quote drafts for owner review.
  • Send service messages, support replies, security notices, product updates, and billing notices.
  • Measure product performance, debug issues, prevent abuse, and improve reliability.
  • Develop new features and improve AI-assisted workflows, subject to customer settings and applicable law.
  • Comply with legal obligations, enforce terms, protect rights, and respond to lawful requests.

AI processing

benny may send text, audio, images, video frames, metadata, prompts, and related context to AI providers to generate transcripts, measurements, summaries, quote drafts, confidence scores, and safety or hazard flags.

Customer videos and quote content are used to provide the service to the business that requested the capture. We do not sell customer capture content. We do not use customer videos for public marketing without permission.

How we share information

  • With the business account that requested or manages the capture.
  • With service providers that support hosting, authentication, database, storage, analytics, AI processing, communications, billing, security, and support.
  • With staff, contractors, or invitees authorized by the business account.
  • With law enforcement, regulators, courts, or other parties when required by law or to protect rights, safety, and security.
  • In connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate protections.
  • With consent or at the direction of the account owner or customer.

Cookies and analytics

We use cookies, local storage, pixels, and similar technologies for authentication, security, preferences, analytics, product improvement, and session replay safeguards. Analytics help us understand page performance, feature usage, errors, and conversion flows.

Some browsers offer Do Not Track signals. Because there is no consistent industry standard for these signals, benny does not currently respond to them. You can use browser settings and privacy tools to control cookies and similar technologies.

Retention

We keep information for as long as reasonably needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business needs.

Customer media is sensitive. The intended default retention period for capture media is one year unless the business chooses a shorter retention setting, deletion is requested and legally available, or a longer period is required for security, disputes, backups, or legal compliance.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These may include access controls, authentication, encryption in transit, provider security controls, logging, and limited access based on business need.

No internet service is perfectly secure. You are responsible for using strong account security, limiting who can access your dashboard, and avoiding unnecessary sensitive information in capture videos or notes.

Your choices

  • Account owners can update account and business information in the dashboard or by contacting support.
  • You can ask us to access, correct, delete, or export personal information, subject to identity verification and legal limitations.
  • You can opt out of non-essential marketing emails by using unsubscribe links or contacting us.
  • Customers can decline camera or microphone permission, stop a capture, or contact the business that sent the link for quote-related requests.
  • Depending on where you live, you may have additional rights to know, access, correct, delete, restrict, object, port, or appeal decisions about personal information.

Children

benny is not intended for children under 13, and we do not knowingly collect personal information from children under 13. Capture links should be used by adults or with appropriate adult supervision and consent.

International transfers

benny and its service providers may process information in the United States, Canada, and other countries where we or our providers operate. These countries may have privacy laws that differ from your location.

U.S. state privacy notices

Some U.S. state privacy laws provide rights to access, delete, correct, opt out of certain sharing, or appeal privacy decisions. benny does not sell personal information in the traditional sense. If future advertising or analytics practices are considered a sale or sharing under applicable law, we will provide required notices and choices.

Changes to this policy

We may update this Privacy Policy as benny changes. If changes are material, we will take reasonable steps to notify account owners. The updated date shows when this page was last revised.
